Jom POS Privacy Policy

Jom System Sdn Bhd (1515190-T) (collectively and individually referred to as “the company”, “we”, “us” or “our”) operate its websites such as https://www.jomsystem.com/ (collectively or individually referred to as the “Site”) and distributes a mobile platform called Jom POS (collectively or individually referred to as the “App”, “Jom POS”). This Privacy Policy explains how we handle Personal Data and comply with the requirements of Malaysia’s Personal Data Protection Act 2010 (“PDPA”).
Information that we collect
- Account Information: Username, Password
- Business Information: Company name & business details, branch information, user roles and access permissions
- Transaction Data: To process sales and generate reports, we collect transaction-related information, including sales records and transaction IDs, payment methods and amounts, refund, return, and cash in/cash out records, date and time of transactions and other similar information
- Inventory Information: Product names, categories, stock levels, serial numbers or batch numbers for tracked items, stock movement, adjustments, and stock take records, and other similar information
- Warranty Information: Customer names, phone numbers, email addresses, and other similar contact information, purchase history and associated product information, warranty registration details and claim records
- Device and Usage Information: We may automatically collect information about the devices and systems you use to access Jom POS, including but not limited to device type, operating system, IP address, app usage data, feature usage, log data, error reports, and similar diagnostic information
- Other Information: We may collect other information you choose to provide in connection with customer support inquiries, feedback, or optional features. We may also obtain information about you from third-party sources, including payment processors or analytics providers, which may include additional device, usage, or account-related data.
How do we use your information?
Our primary purpose in collecting information is to provide you with a secure, smooth, efficient, and customised experience when using Jom POS. We may use the information we collect for purposes including the following:
- To provide, operate, and maintain Jom POS services and related customer support
- To process sales transactions, generate receipts, reports, and records, and send notices relating to your transactions
- To verify your identity, including during account registration, login, and password reset processes
- To respond to enquiries, resolve disputes, collect fees or monies owed, and troubleshoot operational or technical issues
- To manage risk and to detect, prevent, and/or remedy fraud, unauthorised access, or other potentially prohibited or unlawful activities
- To detect, prevent, or remedy violations of our policies, terms of service, or other applicable agreements
- To improve Jom POS services by analysing usage trends and customising your user experience
- To measure system performance and improve the content, functionality, and layout of the App
- To manage, maintain, and protect our information technology systems and infrastructure
- To communicate with you regarding service updates, system notices, security alerts, and other operational messages
- To provide marketing communications, promotional offers, or information about Jom POS features or related services, subject to your communication preferences and applicable laws
- To comply with applicable laws, regulations, legal processes, or governmental requests
- To enforce our policies, applicable laws, or any agreement we may have with you
- For internal administrative, audit, reporting, and other similar business purposes
We may contact you via electronic means, including email, in-app notifications, SMS, or other communication channels you have provided, to notify you about your account, resolve issues, collect outstanding payments, conduct surveys, or otherwise service your account. Where permitted by law, such communications may include service announcements, promotional messages, or product updates. You may opt out of certain communications in accordance with applicable laws and your communication preferences.
Data Storage and Retention
We take reasonable steps to ensure that your data is stored securely. Your personal and business data is stored on encrypted servers and may be retained for as long as necessary to provide our services and comply with legal obligations. You may request deletion of your data by contacting us as described below.

We do not sell or rent your information to third parties. We may share your information in the following circumstances:

- Deactivate Account: You may request account deactivation at any time by contacting support. However, some information may be retained for legal and business purposes.
Children’s Privacy
Jom POS is not intended for use by individuals under the age of 18. We do not knowingly collect personal data from children. If we become aware that we have inadvertently collected personal data from a child under the age of 18, we will take steps to delete that information.
Your Consent
By using Jom POS, you consent to our Privacy Policy.
Changes to this Policy
We may update this Privacy Policy periodically. Significant changes will be communicated through App notifications, and the updated version will be effective as of the “Effective Date” shown at the top of this policy. You are deemed to accept and agree to be bound by any changes to the Privacy Policy when you use Jom POS after those changes are posted.
